    Microsoft® Office 365® products are the most common office applications used in business firms, and students and professionals alike will need skills using them. The following list names each of the Office 365® applications (apps) with their corresponding functions.

    • Word® = word processing for writers of narrative text, and also includes advanced features such as tables, graphics, spell-check, and advanced formatting.
    • Excel® = tables (spreadsheets) for mathematical functions, such as calculations and reports, and includes powerful automatic features.
    • PowerPoint® = slides used for presentations, and includes formatting, graphics, and design elements.
    • Outlook® = email sending, receiving, and storage with integrated calendar (with reminders) and contact list.
    • Publisher® = desktop publishing with graphics, layout, and design tools to create flyers and illustrations.
    • Access® = database designer with complex capabilities to create and build custom-designed databases.
    • OneNote® = note-taking screen that includes typing text, writing with a stylus, and recording video and audio.

    Google has a suite of similar products, including word processing, spreadsheets, and presentation slides. Google Docs is the word processing app; Google Sheets is the spreadsheet app; and Google Slides is used for presentations. All of the products can be started or opened through Google Drive.

    Word Processing

    While Microsoft® may be the most popular type of word processing software for business, Google also has a word processing application popular for personal use. One of the primary differences is that Microsoft® products must be purchased, while Google apps are free.

    Students may be able to access Microsoft® Word® (different versions / student version) by various methods:

    • Bundled with a computer when initially purchased.
    • Purchased online from Microsoft® (annual or monthly fee).
    • Use a student version online (free or purchased, depending on the college).

    Also, for students who attend participating colleges, Microsoft® Office 365® can be downloaded free from Microsoft:

    One useful feature of Google apps is that documents are easily shared and worked on by more than one person. Create and share a document using Google Drive and Google Docs.

    As with word processing, Microsoft® Excel® continues to be the most popular spreadsheet software for business. Individual spreadsheets are called worksheets, and documents with multiple worksheets are known as workbooks. For personal or student use, Google Sheets is one of the most popular, and it’s free.

    Examples of using spreadsheet applications for students include:

    1. Budgeting: Track income and expenses to manage personal finances. Create categories for different spending areas (food, entertainment, transportation) and record income from allowances or part-time jobs. Use formulas to calculate totals and analyze spending habits.
    2. Assignment/GradeTracker: Monitor academic performance across different subjects. Create a table with columns for course name, assignment name, due date, earned points, and possible points. Use formulas to calculate percentages and track overall grades for each course.
    3. Charts and Graphs: Create charts and graphs for research papers and other assignments.

    Examples of using spreadsheet applications in real estate include:

    1. Client Lead Tracking: Organize and manage potential client information. Create a spreadsheet with columns for client names, contact details, property interests (e.g., size, location, price range), and notes from interactions.
    2. Listing Comparison: Compare key features of different properties for sale. Create a table listing properties with columns for address, asking price, square footage, number of bedrooms/bathrooms, amenities, and agent contact information.
    3. Profit Estimating: Estimate potential revenue, expenses, and profits on investment property.
    4. Mortgage Calculating: Calculate principal and interest for mortgage payments; compare interest rates.
    5. Commission Calculating: Compute and track commission payments.

    To become proficient in computer software and applications necessary for professional business career success, students will need to learn and practice important skills while they are in college.     Presentation Software

    A third important type of software is the presentation software, commonly known as slides or slide deck. Students use these for class presentations. In real estate, presentations are commonly used by real estate agents to present marketing and property information to a potential seller. Other popular uses include marketing a listing and, for real estate brokers, recruiting agents or weekly training classes. While Microsoft® PowerPoint® is the business standard for presentation software, other popular apps include Keynote, Prezi, and Google Slides.
