    Managing collections refers to the process of ensuring that tuition and other fees owed to the program are paid in a timely manner. Because tuition is often the primary source of income for early childhood programs, consistent collection practices are essential for maintaining cash flow and supporting daily operations.

    Programs should establish clear written policies regarding:

    • Tuition due dates
    • Accepted payment methods
    • Late fees
    • Returned check policies
    • Payment plans
    • Procedures for overdue accounts

    These policies should be communicated to families during enrollment and applied consistently to all families. Clear communication helps reduce misunderstandings and supports professional relationships.

    Administrators must balance compassion with financial responsibility. Families may experience unexpected hardships such as job loss, illness, or emergencies that impact their ability to pay tuition. In some cases, administrators may choose to offer temporary payment plans or connect families with community resources. However, programs must also ensure that unpaid tuition does not create significant financial problems for the center.

    Maintaining accurate records of payments and balances is critical. Many programs use accounting software or child care management systems to track accounts receivable and identify overdue accounts quickly. Following up promptly on unpaid balances helps prevent larger collection issues later.

    Some programs may eventually need to make difficult decisions regarding continued enrollment if accounts remain unpaid for extended periods. Having consistent policies and documentation protects both the program and the families involved.

    Effective collection practices help ensure that the program has the funds needed to pay staff, purchase supplies, maintain facilities, and continue serving children and families.
