This submission represents the creation of your project’s internal financial and quality assurance operating system. These tools are not theoretical—they are designed for use during project execution to:
- Track actual project costs against your approved budget
- Identify financial risks and respond with clarity
- Monitor the quality of deliverables using pre-set criteria
- Resolve issues quickly and visibly
- Build credibility with sponsors and protect team time
You’re submitting tools that demonstrate financial awareness, quality leadership, and control maturity—the hallmarks of a project-ready team.
Your Submission Will Include:

| 2. Variance Analysis Table | A structured explanation of over-/under-spending with root causes, direction, and corrective actions |
| 3. Quality Acceptance Criteria Checklist | Predefined QA expectations for key deliverables, including review method and sign-off status |
| 4. Defect Log or QA Tracker | A running log of quality issues, severity, owner, and resolution path |
| 5. (Optional) Quality Escalation Flow or Matrix | A visual or tabular guide that explains how unresolved or critical QA issues are escalated and who owns the decision |
Required Details for Each Component
1. Budget Tracking Log
Must include:
- Cost category
- Planned budget (from Milestone 4)
- Actual cost to date
- Remaining budget
- % Burned
- Status (On Track / At Risk / Over Budget)
- Notes field (for update justification or references)
File Type: Excel or formatted table in Word/Google Doc
Must use consistent terminology from Milestone 4 budget
2. Variance Analysis Table
Must include:
- Category
- Planned vs. actual spend
- Dollar variance
- % variance
- Direction (Over / Under / On Target)
- Root cause / explanation
- Action taken or escalation note
File Type: Word table or spreadsheet
Should align line-by-line with Budget Tracker categories
3. QA Acceptance Criteria Checklist
Must include:
- Deliverable name (aligned to WBS/scope)
- Owner of the deliverable
- Quality criteria (SMART-formatted)
- QA method (e.g., peer review, testing, sign-off)
- Reviewer or approver
- Due date for review
- Status (Pending / Approved / Rework Needed)
- Optional: Notes column
File Type: Formatted table in Word or Google Doc
Minimum of 3–5 stakeholder-facing deliverables evaluated
4. Defect Log / QA Tracker
Must include:
- Issue ID or unique label
- Deliverable name
- Description of issue or gap
- Severity (High / Medium / Low)
- Owner
- Status (Open / In Progress / Resolved / Deferred)
- Resolution date
- Notes / Action Taken
File Type: Spreadsheet or table
Optional filters, color codes, or dashboard visuals encouraged
5. (Optional but Recommended) Quality Escalation Matrix or Flow
Should include:
- Trigger conditions for escalation (e.g., repeated rejection, unresolved issue)
- Escalation levels (Team → PM → Sponsor)
- Response deadlines or turnaround expectations
- Decision owner at each level
- Format: Flowchart, swimlane diagram, or escalation table
File Type: Slide, Word doc, or diagram in PDF
